Conference Leadership Team
 

Conference Executive Director: Paul William Ellis

Responsible for overall conference planning and overseer of all committee chairs. Creates budget, books hotel, selects and notifies presenters, etc. Responsible for contacting local city government for Certificates of Merit, Certificates of Achievements, Proclamations, and Keys to the City. Responsible for soliciting letters from the local mayor for the program book and scheduling a representative to present awards during an evening service. Coordinates all these efforts with Program Chair. Responsible for publication of program book and virtual ads.


Executive Assistant: Noah Butler, III

Welcomes vendors to Eric Toland Resource Room, Receives and secures all monies and deposits from Financial Secretary daily following final count. Coordinates deposits with Conference Executive Director. Awards Coordinator: Responsible for developing an Awards Committee, establishing criteria for awards, and selecting recipients for such awards. Responsible for establishing a balance for said awards and submitting that budget by January 31st of each year. Will complete a written report updating the Conference Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


Assistant Coordinator/Logistics: Franklin Eaves
Assist with locating and securing site for conference. Ensures BEQ will satisfy meeting space requirements. Coordinates with local convention center or visitor’s bureau to secure local literature, brochures and maps. Ensures appropriate rooms are opened and secured in accordance with conference schedule. Schedules break-out rooms to be secure each day. Oversees A/V set-up and breakdown. Vendor Chair : Responsible for ensuring the “Resource Room” (Vendor area) is set-up according to layout, ensures adequate table space and chairs; sets up IIDS table. Ensures Resource room is broken down and supervises team in loading and unloading. Transportation Co-Chair: Responsible for scheduling shuttle services provided during conference. Ensures list is positioned for sign-ups, Submits announcements for tours/trips. Will complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


Assistant Coordinator/Program Chair: Noah Butler
Assist with locating and securing site for conference, assist in contract negotiations, coordinates with Conference Executive Director for selecting workshops, scheduling daily break-out sessions, Power Sessions, seminars, presenters, musical guest, and special guest. Responsible for taking and distributing minutes from meetings and conference calls, responsible for duplicating presentation copies for presenters. Will complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


Adviser to the Executive Director for Deaf-Related Issues: Gina A. Oliva, Ph.D.
Serves as Adviser to the Executive Director to ensure IIDS maintains balance in meeting the needs of both the Deaf and Interpreting communities.


Financial Secretary: Earnessa Moncriffe
Responsible for keeping efficient records of all incoming funds during conference week. Will collect, count and report all income from registration, Vision Partners, and offerings on a daily basis. Verifies count of Ambassadors and logs totals. Will collect funds from Silent and Live auction. Prepares deposit slips for submission and provides reports to the Conference Director. At conference close, will produce a report inclusive of all financial activity for the week. Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to the actual event and not later than 2 weeks following each annual conference. Completes any other duties as assigned by Conference Director.


Interpreter Coordinator: Pamela Collins
Responsible for securing a qualified team of certified interpreters for conference week to ensure complete coverage of events. Produces interpreter schedule based on availability and skill set. Conducts daily meetings with team. Develop mentorship plan and provides training for mentorship candidates. Responsible for issuing food stipends to interpreters. Helps with coordinating transportation itineraries for interpreters. Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


CMP Coordinator: Carol Tipton
CMP Coordinator shall coordinate the approval of CEU’s/ACET’s through the RID and the state of Alabama. Receives CEU forms and evaluations forms from the Ambassador coordinator, ensures all forms are complete and signed by presenters by 3:45pm each evening. Counts to ensure evaluation forms match the number of signed participants for each workshop. Completes the Host CEU Evaluation Forms daily.


Ambassadors Coordinator: Robin Eaton-Glover
Assist in the selection of Ambassadors for conference week. Schedules and conducts a welcome meeting with Ambassadors and Conference Director on the afternoon of the first day before registration. Registration Chair: Supervises the preparation of registration bags and items. Schedules coverage of registration desk, breakout sessions, and power sessions and IIDS table with adequate staff. Submits all registration fees and collections from IIDS table to Financial Secretary on a daily basis. Provide Conference Director with a running body count total of registered delegates on site by 7pm daily. In addition, Provide a statistical report of the number of people attending each workshop (both morning and afternoon) and the number of people attending morning prayer and power sessions. Supervises ambassadors with collection of offerings and with initial count. Verifies count with Financial Secretary. Schedules ambassadors to assist with break-down of conference, resource room, executive office, etc. Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


Sponsorship Chair: Paul William Ellis
Solicits corporate donations and partners to help underwrite the cost of annual conferences. In addition, contacts local businesses and seeks generous donations for such items that will be utilized during each annual conference including items like programs, sound and A/V equipment, etc. Provides financial secretary with a financial report of items collected and submits funds upon arrival. Will complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


Vision Partners Coordinator: Garry Ratliff
Solicits donations and partners from former conferences, deaf churches and deaf ministries throughout the world by educating individuals and ministries on the program. Prepares annual fundraising and development plan. Drafts letters of solicitation. Coordinates maintaining V.P. table during events. Prepares e-correspondence, keeps adequate records of existing and new Vision Partners, Assist with preparing monthly E-Letters. Keeps daily records of new partner pledges and collected funds during events. Provides financial secretary with a financial report and submits funds on a daily basis. Should complete a written report updating the Vision Partner chair on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


Data Collections: Darlene Ratliff
Contact churches and Deaf/interpreter programs requesting partnership with Vision Partners. Collects conference registration information to update database for Partners program. Prepares date for mail-merge. Assist with manning V.P. table at events. Should complete a written report updating the Vision Partner chair on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.

I.T. Coordinator: (Position Open)
Responsible for gathering information for the IIDS, Inc. website and keeping the webmaster posted with updates. IT person will also be responsible for sending out informational e-correspondence regarding IIDS, prayer request, announcements, etc. IIDS will coordinate with Ex. Director regarding how frequently e-correspondence should be used.


Auction Coordinator: Marvette Barnett
Solicits items, charts items and prepares display for Silent Auction. Provides Conference Director with an itemized list of silent auction items at least 2 weeks prior to event. Coordinates Live auction. At close of auction, collects funds and submits along with a report to the financial secretary. Prepares “Thank You” notes for donating parties and all auction winners. Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director or program chair.


A/V Coordinator/Photographer: Harold Williams
Set-up and break down of break-out rooms and general session rooms providing audio/visual support. Coordinates with logistics chair to secure proper scheduling. Connects and test a/v equipment each morning. Captures images of event. Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


Media Coordinator: David Stecca
Responsible for recording general sessions and break-out sessions. Submit A/V and platform accommodation requirement request to the Logistics Coordinator. Responsible for duplication of sessions. Participates in quarterly conference calls. Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.

Hospitality Coordinator: Vacant
Greets incoming Presenters and Speakers, ensures guest are comfortable and rooms are sufficient with accessible equipment if required, issues food stipends and honorariums, coordinates with transportation chair to ensure presenters/speakers are picked up and returned to airport (mode of transportation.) Will coordinate with Program Chair to provide gifts to presenters and have gift basket placed in presenter’s and speaker’s rooms prior to their arrival. ) Should consider that presenters will have to travel with gifts) Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


Armor Bearer: Garry Ratliff
Responsible for attending to, ministering to, caring for, helping, be of use to, assisting, supporting, making easy for, nourishing, and encouraging the Executive Director. The attitude of an armor bearer is one of servanthood. The mindset of an armor bearer, as well as those operating in the spirit of one, is to do what it takes to serve and support their leadership. Operating in the spirit of armor bearing can also be described as operating in the principles or pervading qualities of an armor bearer. The qualities that top the list are servanthood, commitment, attentiveness, support, help, loyalty, and faithfulness. Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.

Marketing Coordinator: (Position Open)
Responsible for keeping the organization visible and relevant to other organizations and businesses with similar goals and objectives. Also responsible for putting the leadership in contact with key leaders of those businesses and organizations as well as leaders within the deaf community. Should keep the leadership abreast of upcoming events and provide information about booth rental and advertisements to market IIDS,www.enablelight.com and Impartation. Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.


Transportation Chair: Marvin Smiley
Responsible for Shuttle services provided during conference. Assist Executive Director with transporting equipment to and from conference site.


Intercessory Prayer Leader: Pastor Roland Cooper
Responsible for Intercessory Prayer.


Banquet Decorating Chair: Denise Spellman
Responsible for decorating the banquet room on the afternoon of the banquet. Will coordinate with the Program Chair and Sponsorship to correlate theme and décor as well as seek donations for decor. Will be responsible for assembling a team for set-up and break-down of décor. Should complete a written report updating the Executive Director on progress of responsibilities 2 weeks prior to each quarterly conference call. Completes any other duties as assigned by Conference Director.
